We are seeking a highly organized and discreet Executive Secretary to provide comprehensive administrative and secretarial support to senior management. This role is ideal for a proactive professional who can manage a fast-paced executive office while maintaining the highest standards of confidentiality and professionalism.
Role OverviewThe Executive Secretary will play a key role in ensuring smooth day-to-day executive operations, acting as a central point of coordination between leadership, internal teams, and external stakeholders.
Key Responsibilities- Manage executive calendars, schedules, and appointments across multiple time zones
- Draft, review, and manage professional correspondence in Arabic and English
- Prepare reports, presentations, meeting minutes, and official documents
- Track and follow up on action items across departments
- Coordinate local and international travel arrangements, including bookings and visas
- Organize meetings and ensure proper documentation and follow-ups
- Act as a liaison between the executive office and stakeholders
- Maintain confidential records, contracts, and documentation
- Handle sensitive information with the highest level of discretion
- 5–6 years of experience as an Executive Secretary, Personal Assistant, or similar role
- Mandatory experience in the airlines/aviation industry
- Excellent bilingual communication skills (Arabic & English)
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational and time management skills
- Ability to multitask and work under pressure in a fast-paced environment
- High level of professionalism, integrity, and confidentiality
- Bachelor’s degree or equivalent qualification preferred
